Matrix Education launch website


Since 1999 Matrix Education has been providing after hours additional teaching and coaching to year 7-12 students throughout Sydney. With hundreds of students enrolling each term, and the growth in students and teachers increasing at a frenetic pace, Matrix Education decided it needed to invest in an integrated web-based system to allow it to grow further, with minimal pain.

In less than 12 months, Get Started helped Matrix Education firstly identify then undertake business process re-engineering (BPR) in key areas of their business, and secondly design their new system specifications. The Get Started development team then built the system on the .NET platform, and supported Matrix Education in their final user acceptance testing, training and operational implementation.

The project also included the design and launch of a new website. The integrated system allows students, parents, teachers, tutors, customer service & administration staff and management to utilise vast amounts of student, teacher, subject, class and financial information in a timely manner.

The very powerful web-based system allows:

  • Students to enrol online and book in their initial consultation (at their nearest Matrix office)
  • Consultants to complete the enrolment of a new student (once their initial consultation is complete and fees paid), and assign them to a class for the subject(s) they enrol in
  • Customer Service Officers to process credit card payment receipts and receipt other payment methods against invoices
  • Parents to pay their invoices online at the website using a credit card
  • Students to login and see their current progress, test results and confirm their re-enrolment in the next term (after the system has emailed them notification of requiring their action)
  • Teachers to complete class rolls and class results (e.g. tests, quizzes, homework books etc.)
  • Parents to be emailed and SMSd (within 15 minutes of a class starting) when a student is marked as absent on the class roll
  • Staff to record contact events against a student's CRM record (many of the emails and SMSs sent by the system are automatically placed on a student's CRM record)
  • Management to set up a term of students for re-enrolment and conduct a "rollover" process so they are placed in the next term with the same subjects, pending student confirmation they are in fact re-enrolling (this process also generates the invoice the parent needs to pay once the students confirms they are re-enrolling - saving Matrix staff much work and improving cash flow)

With further offices slated to open in 2007 and beyond, Matrix Education is now positioned to continue its stellar growth with excellent systems in place, and efficient operations.
